KSS is committed to protecting and securing your privacy and personal data. Our Privacy Policy explains how we lawfully safeguard your data per the Principles of the EU General Data Protection Regulations 2018 (GDPR) and all other current data protection legislation.

It is important that you understand who is responsible for keeping your data safe. KSS is the “controller” of all personal data collected and used. We are responsible for deciding how and why your data is used and ensuring that your data is handled legally and safely.

Information we collect from you

We collect your personal information directly when you opt-in to receive KSS email marketing communications. This data includes your first name, surname, company, job title and email address.

The organisation is committed to being transparent about how it collects and uses that data and to meeting its data protection obligations.

When applying for career job opportunities at KSS via our website, we collect your CV and application details, which include your name, address, email address, telephone numbers, details of your qualifications, education, professional body membership, skills, experience, and employment history, including start and end dates with current and previous employers.

We also collect information about cookies, including your viewing history on KSS pages, IP addresses, device identifiers and information about how long you have stayed on specific pages or what pages you have clicked on (Behavioural Data).

How we use the personal data collected from our website

It is important that you understand how and why we use the personal data that we collect from you.

We will use your email address to send you marketing e-communications (including our quarterly newsletter, news updates and invitations to our events).
To process career applications that you submit.
To analyse our website and to improve user experience.

How we store collected data

We have security measures in place for all the data and information that you provide to us or that we collect about you. Data is stored in a range of different places, including the organisation’s HR management systems and in other IT systems (including the organisation’s email system).

This information is confidential, only accessed by authorised KSS personnel, and the data it is solely used for KSS business and marketing purposes.


How long do we keep your data for?

When applying for KSS job opportunities, successful applicants’ data will be held for the duration of their employment. After the end of employment, their data will be held for a period of six years. Unsuccessful candidates’ data, provided to KSS by external agencies or internal recommendations, in respect of recruitment will be retained for six months. Speculative CVs received by the Practice will be retained for a period of six months unless KSS specifically request for them to be kept for a longer duration.

If you opt-in to receive KSS email marketing communications or apply for a vacancy directly, we will hold your data until you notify us.

You can unsubscribe from receiving KSS marketing emails at any time by either following the instructions to unsubscribe from any of our email marketing communications. All opt-out requests will be removed with immediate effect. Please get in touch with us if you want your details removed from our recruitment database.

How is data deleted?

All emails received to opt-out of our email communications will be placed in the company recycle bin and will be permanently deleted after 30 days.

Your data will also be removed from our email marketing software, which will be placed in the account’s recycle bin for 30 days (unless manually removed from the recycle bin or in relation to a suppressed contact, which is immediate). After that time, they’re deleted permanently.

Data Sharing

KSS does not share your data or information with any third-party companies.

We may update this privacy policy from time to time by posting a new version on our website. You should check this page occasionally to ensure you are happy with any changes.
